1. Overview

This Privacy Policy describes how d365.Global (“we”, “us”, or “our”) collects, uses, and shares information when you use the Field Service mobile application (“the App”). The App is a workforce management tool used by authorised field service technicians to manage work orders, record job activity, and communicate with the operations team.

2. Data We Collect

Account & Identity

When you sign in with your Microsoft account, we collect your name, email address, and account ID via Microsoft Entra ID (Azure AD) OAuth. This information is used to authenticate you and associate your activity with your technician profile.

Precise Location

The App collects your precise GPS location (latitude and longitude) continuously while you are on shift, including when the App is running in the background. Location data is used for technician tracking, geofencing against work order bookings, and proximity detection. Location records are stored in Microsoft Dynamics 365 Field Service and are linked to your technician account.

Photos

The App allows you to capture photos using your device camera for the purpose of documenting maintenance work, asset conditions, and inspection findings. Photos are uploaded to Microsoft SharePoint and linked to the relevant work order and your account. The App may also access your device photo library if you choose to attach an existing image.

Device Identifier

A push notification token unique to your device is registered with our backend to enable delivery of job assignment notifications and operational alerts. This token is linked to your account.

Crash & Performance Data

We use Sentry to collect crash reports, error logs, and performance metrics. This data helps us diagnose issues and improve the App. Sentry may collect your user ID, IP address, device information, and session replay data (a recording of your in-app interactions). Session replays are collected for approximately 10% of sessions and 100% of sessions in which an error occurs. Sentry is configured with sendDefaultPii: true, meaning personally identifiable information may be included in diagnostic reports. Sentry data is stored on EU-based servers operated by Sentry (sentry.io).

3. How We Use Your Data

  • To authenticate you and provide access to the App
  • To manage and dispatch field service work orders via Microsoft Dynamics 365
  • To track technician location for operational scheduling and geofencing
  • To store job documentation (photos, notes) against work orders
  • To send push notifications for job assignments and operational alerts
  • To monitor App stability, diagnose crashes, and improve performance

4. Third-Party Partners

Sentry (sentry.io)

Crash reporting, error monitoring, performance tracking, and session replay. Data stored in the EU.

Push notification delivery service. Device push tokens are transmitted to Expo's servers to route notifications to your device.

5. Data Sharing

We do not sell your personal data. We do not share your data with advertising networks or data brokers. Data is shared only with the third-party service providers listed above, solely for the purposes described in this policy, and with your employer or organisation as required for field service operations.

6. Data Retention

Location records, work order data, and photos are retained in accordance with your organisation's data retention policies within Microsoft Dynamics 365. Crash and performance data is retained by Sentry for 90 days by default. Push tokens are removed when you log out or uninstall the App.

7. Permissions Required

  • Location (Always) — required for background technician tracking and geofencing
  • Camera — required to capture job and asset photos
  • Photo Library — required to attach existing images to work orders
  • Notifications — required to receive job assignment alerts

8. Your Rights
